1. Scope

This notice explains how we handle personal data for: (a) website visitors, (b) prospects and clients, (c) supplier/partner contacts, (d) job applicants/candidates, and (e) operational data used for assessment, pilot, and OEM service coordination.

2. What we collect & why

  • Website & marketing: identifiers (cookies/IP), device data, pages viewed, form details (name, email, company, role). Purpose: site performance, analytics, lead response, B2B marketing (with consent or legitimate interests).
  • Sales & delivery: contact details, role, communications, project information, training/competency records needed for PUWER/SAT. Purpose: pre-contract steps and contract performance.
  • Finance & compliance: billing contacts, purchase orders, payment details (handled by PCI-compliant providers), KYC where required. Purpose: invoicing, fraud prevention, legal obligations.
  • Careers:     CV, cover note, interview notes, right-to-work data. Purpose: recruitment compliance.
  • Operational telemetry (optional): where OEMs/clients provide data for coordination of OEM-led service. Purpose: safety, uptime reporting, and coordination under the Order.

3. Lawful bases

  • Contract for delivering services and pre-contract steps;
  • Legitimate interests for B2B marketing, analytics, and improving services     (balanced against your rights);
  • Consent for certain cookies/marketing;
  • Legal     obligation for tax, accounting, and H&S.

4. Sharing

We share personal data with:

  • OEMs, funders, insurers, and integrators to progress assessments, pilots, leases/purchases, claims, and OEM service coordination;
  • Service providers (hosting, analytics, CRM, e-signature, ticketing, accounting);
  • Advisers and authorities as required by law.
  • We do not sell personal data.

5. International transfers

Where data is transferred outside the UK/EEA, we use appropriate safeguards (UK IDTA/Addendum to SCCs, or adequacy decisions).

6. Retention

  • Prospects: up to 24 months from last interaction (unless opted in to receive ongoing marketing);
  • Contracts & records: 6–7 years;
  • H&S/SAT evidence: per legal/insurer requirements;
  • Candidates: 12 months unless you opt into a talent pool.

7. Security

We use access controls, encryption in transit, MFA where supported, and vendor due diligence.

8. Your rights

Request access, correction, deletion, restriction, objection(incl. marketing), and portability; withdraw consent where relied upon. Email info@therobotgroup.co.uk. You can complain to the ICO at ico.org.uk.
